Shaw Preservations has always understood and respected the importance of your privacy.

Under the new GDPR  (General Date Protection Regulation)  coming into force on the 25th May 2018  we are required to to let you know how we will use your information  and whether we  pass the information on to anyone else.

By making an enquiry/booking and submitting your personal data,  you agree to the storing or processing of it as set out below.

We will take the necessary steps to ensure that your data is treated securely.

What Personal Information Do We Collect and Why Do We Collect It?

When you book a survey or treatment, we will collect personal data about you.

The sort of personal data we collect will be information such as name, address, email address, telephone number, how long you have lived at the property and whether you are a tenant, owner or prospective purchaser.   We need to collect this information in order to ensure you receive the correct service for your needs.

If you contact us, or submit an enquiry form, we may keep a record of your email and correspondence , and if you call us by telephone, we may monitor and/or record phone conversations for training and customer service reasons.

How long do we hold personal information?

We hold your information securely, in the cloud for 5 years, from

  1. Date of enquiry
  2. Date of survey report
  3. Date of completion of treatment.

Transfer of your information:

Should you book a survey, we will only transfer information on your written request, ie to  estate agents, tenants, landlords,  neighbours, insurance companies etc.

Should you have damp or timber treatments carried out by us, we will, if requested by you, transfer information to the GPI for the purposes of arranging an insurance policy to cover our guarantee.

How We Use Your Information:

We use information held about you in the following ways;

  1. To carry out our obligations arising in connection with any contracts entered into between you and us, or between you and a third-party sub-contractor.
  2. To communicate with you regarding your bookings.
  3. To notify you about changes to dates, times, treatments, etc
  4. For resolving complaints and dealing with disputes

Marketing Use:

We will NEVER use your information for marketing purposes.

Claiming under the Terms of our Guarantee:

As we no longer will be holding your information indefinitely, it is vitally important that you keep all information should a claim under the guarantee be required.  The information you must keep is:

  1. The report and any plans relating to this
  2. Details of any amendments carried out
  3. The invoice
  4. Proof of payment of the invoice
  5. The Guarantee itself
  6. The Insurance policy ( if issued) covering the guarantee.#

We cannot be held responsible for data lost by client.

Website Use:

We may collect details of your visits to this Site (including, but not limited to, traffic data and location data) for our own purposes only.   We may collect information about your computer including, where available, your IP address, operating system and browser type, for system administration purposes. This is statistical data about our users’ browsing actions and patterns will not identify any individual.

However, once we have received your information, we will store this on secure servers.

Your rights to ask us to remove data:

You have the right at any time to ask us to remove any information we hold on file.   Initially this can be done by indicating in the box on the Guarantee Registration Form and Enquiry Form. You can remove data at any time by emailing mail@shawpreservations.co.uk  or writing to Shaw Preservations, Greentiles, Boxhill Rd, Tadworth, Surrey, KT20 7JE . This service is free of charge and will be done within 14 days.

Your right to access any personal data we hold:

GDPR gives you the right to check that your personal data is being processed lawfully.   Request must be made in writing to: Shaw Preservations ltd, Greentiles, Boxhill Rd, Tadworth, Surrey, Kt20 7JE.   Information will be provided free of charge within 30 days.

Changes to our privacy policy

We reserve the right to update or alter this Privacy Policy from time to time without notice to you.

Data Protection Officer

Jacqueline Shaw is our designated DPO who is responsible for ensuring compliance through collating information, regular staff training to ensure date obligations are understood, co-operating with the authorities, handling data requests, website data etc.
